How to Choose the Right ERP for Your School or College
A practical checklist for evaluating school and college ERP software: what actually matters beyond the feature list, from data isolation to how modules are priced.
Most schools and colleges evaluating ERP software start with a feature checklist (attendance, exams, fees, timetable) and end up picking whichever vendor's demo looked the smoothest. That's a reasonable starting point, but it misses the questions that actually determine whether the system is still working for you three years in: how your data is isolated, how staff turnover is handled, and what happens when your institution's needs change.
Start with data isolation, not features
Almost every ERP on the market can show you an attendance module and a fee collection screen. Far fewer can explain, precisely, how one institution's data is kept apart from another's if the platform serves multiple institutions, or how one department's data is kept apart from another's within your own institution. Ask vendors directly: is tenant isolation enforced by the database itself (row-level security), or only by application code deciding what to display? The difference matters the day a bug ships, not the day of the demo. Application-level isolation can be bypassed by a single missed permission check; database-enforced isolation can't be bypassed by application code at all.
Map roles to your actual staff, not generic titles
A registrar, an accountant, and a head of department need meaningfully different access, and in most real institutions, one person often holds more than one of these responsibilities at once. Before signing anything, list out every role at your institution and what each one should be able to see and do. Then check whether the ERP lets you configure permissions at that granularity, or whether you're stuck with a handful of fixed roles that don't map to how your institution actually runs.
Ask how modules are turned on and off
- Can you enable only the modules you need today (attendance and exams, say) without paying for or configuring modules you won't use for another year?
- If you add a module later (a library, or transport tracking), does it share the same login, permissions, and audit trail as everything else, or is it a bolt-on with its own separate account system?
- Does turning a module off actually hide it from every role, or does it just remove a sidebar link while the data and permissions remain reachable?
Test the audit trail before you need it
The value of an audit log isn't visible on day one. It's visible the day a mark gets disputed, a fee payment gets questioned, or a parent asks who changed their child's attendance record. Before committing, ask to see an actual audit entry: does it record who did what, when, and what the value was before and after the change? A system that can't answer "who changed this and when" for anything financial or academic is a liability waiting to surface.
Weigh migration and lock-in honestly
Every institution eventually asks whether it could leave. Before you commit, ask how your data comes out if you ever needed it to, not as a hypothetical, but as an actual export format. A vendor confident in their product should have a straightforward answer for this, not a hedge.
